Who is responsible for your data?
ROMNAVAL REGISTER OF SHIPPING S.R.L. (Romnaval) is the controller of personal data collected through this website and its survey request form. Our registered office is Bulevardul Mamaia nr. 50, Et. 1, Ap. 3, 900663 Constanța, Romania. Contact us at tech@romnaval.com or +40 742 935 328.
What information do we process?
When you contact us, we receive your name, company, email address and optional telephone number. A service request may also contain vessel name, IMO number or the reason it does not apply, flag, vessel type, gross tonnage, service and audit type, proposed location and country, dates, urgency, message and uploaded documents. We record a request reference and receipt time.
The website and hosting infrastructure may process IP addresses, request timestamps and technical error information to operate securely. The form uses a hashed IP-derived identifier for submission rate limiting. We do not add advertising trackers, behavioural analytics or automated decision-making to this website.
Why do we use this information?
We use request information to assess the proposed assignment, contact you, prepare arrangements and manage related communications. Where you are requesting steps towards your own contract, processing relies on Article 6(1)(b) GDPR. For representatives of companies and other business enquiries, it relies on our legitimate interests in responding to enquiries and organising maritime services under Article 6(1)(f). Website security and abuse prevention also rely on legitimate interests. Applicable legal obligations may require processing under Article 6(1)(c).
Optional language storage is used only with your permission. You can change that choice through Cookie settings. Cookie choices are separate from processing necessary to respond to a service request.
Required fields and attachments
Required fields are marked with an asterisk. Without the information needed to define the assignment, we may be unable to assess your request. Attachments are optional. Submit only documents you are entitled to share and avoid unnecessary personal data, passwords or sensitive information about crew members. The form accepts up to three PDF/JPG/PNG files, 5 MB each and 10 MB in total.
Who can receive your information?
Authorised personnel and technical administrators may access enquiries when needed to review them and maintain the website. Form notifications and attachments are sent to the Romnaval technical mailbox and the designated website administration mailbox. A confirmation is sent to the address you enter. Our hosting provider and Google email services process information in connection with storage, delivery and support. We may disclose information to professional advisers or competent authorities where necessary and lawful. We do not sell your personal data.
International processing
Google email services and their infrastructure may process information outside the European Economic Area. Applicable transfer arrangements depend on the provider, service and destination. Contact us for information about the arrangements and safeguards applicable to your enquiry, including relevant adequacy decisions or contractual safeguards where required.
How long is information kept?
The request system is configured to remove successfully notified requests and their uploaded files from its active server storage after 90 days when scheduled cleanup runs. Requests with undelivered notifications remain queued until they can be addressed. Technical records used for duplicate prevention and rate limiting are also subject to scheduled cleanup; delivery and hosting logs are managed separately.
Email correspondence, backups and records of accepted assignments may remain for longer where needed to handle the enquiry, provide services, satisfy legal obligations or establish, exercise or defend claims. Deleting a request from active form storage does not automatically delete copies from mailboxes or backups. Contact us for information or a deletion request relating to your case.
Your rights
Depending on the circumstances, you may request access, correction, erasure, restriction or portability of your data, and object to processing based on legitimate interests. You may withdraw permission for optional storage without affecting earlier lawful processing. We may ask for proportionate information to verify your identity. We normally respond within one month; GDPR permits an extension in certain cases, which we will explain.
Contact tech@romnaval.com. You may also complain to Romania’s National Supervisory Authority for Personal Data Processing (ANSPDCP) at dataprotection.ro, or another competent supervisory authority.
Security and updates
We use HTTPS, server-side validation, request tokens, restricted private storage and authenticated email delivery in the supplied form system. No online service can guarantee absolute security. This policy may be updated when our website or processing practices change; the revision date is shown above.
